Assistant Security & Travel

About the role

You support the Head of Security in organising his day-to-day work and the security team with administration. A core part of your role is travel management for the CEO and the C-Suite, in close cooperation with the Executive Assistants and our close protection team. You work in an environment where discretion is a given. If you love structure, think ahead and stay calm when plans change at short notice, this role is for you.

What you will own

• Assistant to the Head of Security: Calendar and meeting management, prioritising requests, correspondence in German and English. Preparing and following up meetings with agenda, minutes and open actions. Preparing decision papers and reports.
• Travel management CEO and C-Suite: Planning and booking travel, accommodation and transfers for the CEO and the C-Suite. Close cooperation with the Executive Assistants, taking over once dates are confirmed. Aligning every trip with the close protection team, from route to accommodation. Handling short-notice changes.
• Security team travel: Travel planning for the security team on assignments and accompanied trips.
• Security administration: Administrative support for the security team in day-to-day business, from expenses to overviews and deadlines.
• Reception: First point of contact in the office, welcoming visitors in line with security guidelines.
• Zurich office support: When you are in the office, you support office tasks, for example organising lunch for the CEO, mail and courier. In cooperation with the Entrance & Security Officer.
• Onboarding: Organisational support when new team members join, together with the People team.
• Independence: You handle standard tasks on your own. Decisions and functional responsibility stay with the Head of Security and the team.
• Interfaces: Head of Security, close protection team, Executive Assistants of the CEO and C-Suite, People team, Office Management, and external providers.
• Growth: The security organisation is growing. If you perform well here, you will take on more responsibility step by step and grow with the role.

• Experience in an assistant, office management or travel management role, or a background in public authorities, police or the military
• Enjoying organisation, structure and an environment where no two days are the same
• Confident with Google Workspace or Microsoft Office
• Good German and English skills
• Reliability, discretion and composure, even when plans change at short notice
• Flexibility, occasionally outside regular hours
• The wish to take on responsibility and develop within a growing security organisation
